In-Tune info pack for students & families

Everything you need to know about how your tutor or teacher uses In-Tune — whether you are learning yourself or supporting someone who is.

Welcome! In-Tune is the platform your tutor or teacher uses to keep lessons organised — scheduling, homework, messages, invoices, progress, and safeguarding — all in one place, for any subject. Most people access it through a student account. If you are an adult learner, that account is yours. If you are a parent or carer, your child signs in with theirs and you can stay in the loop through guardian contacts and important emails (like incident reports), without needing your own login.

What is In-Tune?

In-Tune is a teaching platform built for private tutors, teachers, and schools — whatever the subject. Maths, languages, music, sports coaching, academic tuition, and more all run on the same tools. Your educator uses it to organise their teaching practice so you are not relying on scattered texts, paper notes, or lost emails.

Instead of juggling WhatsApp, bank transfers, and photocopied worksheets, students get a proper portal — branded to your tutor's or school's organisation — where lesson information, work, and payments live together. Parents and carers benefit too when they need visibility or safeguarding contact details on file.

Getting started

Your tutor or school creates the In-Tune student account and sets the login password. Students do not receive an automatic email invitation — your educator will share sign-in details with you directly (often by email once an address is on file).

  • Username and password — provided by your tutor or school when the account is created.
  • Works in a web browser — on a phone, tablet, or computer; no special app is required for most features.

Younger students may need a parent or carer to help with first login and to store credentials safely. Adult and older students usually manage their own account. Where parents or carers are involved, guardian contacts on the student profile help keep everyone connected.

Forgotten your password? There is no self-service reset on the login page. Contact your tutor or school first, or email hello@in-tune.uk if you need further help.

Guardians & emergency contacts

Where a student has parents, carers, or other family members who should be kept informed — especially for safeguarding — guardian contacts are stored on the student account. Adult learners who manage their own learning may not need anyone listed here; your tutor can advise what is appropriate.

  • Students can add guardians under Settings → Guardians.
  • Tutors and school staff can also add or update guardians from the student profile.
  • Include each parent, carer, or emergency contact with name, relationship, email, and phone.
  • Keep details up to date if numbers or emails change.

Guardians do not need a full In-Tune login for incident notifications — they receive a secure email link instead (see Safeguarding below). Adding guardian details still matters so those emails reach the right people when they are needed.

Your student portal

When you sign in as a student, you see a portal tailored to your lessons. In-Tune includes:

My Feed Announcements, reminders, and news from your tutor or school.
Calendar Upcoming lessons, sessions, and events at a glance.
Homework Tasks set by your tutor, with space to submit work and read feedback.
Messenger Professional messaging tied to teaching — not mixed in with personal chat apps.
Payments Invoices and secure online payment where your tutor uses billing.
My courses Structured courses with weeks, materials, and clear progression.
Resource Room Extra learning materials or purchased resources your tutor shares.
Profile Student details, progress notes, and guardian information.

Lessons & calendar

Lesson times and schedule changes are managed in In-Tune's calendar. That means:

  • See what's coming up — check the calendar rather than hunting through messages.
  • Reschedules leave a record — when a lesson moves, the change is tracked in the system.
  • Public availability — some tutors also show open lesson slots on their public profile page so new students can enquire or book.

Your tutor may also share lesson plans or notes linked to calendar events, so preparation and follow-up stay connected to the right date.

Messages & updates

In-Tune keeps teaching communication separate from your personal phone:

  • My Feed — organisation-wide or class announcements (term dates, events, reminders, policy updates).
  • Messenger — direct conversations between students, tutors, and staff with teaching context preserved.
  • Email notifications — important updates (invoices, incident reports, reminders) can also arrive by email.

This gives students and educators a clear, professional channel and reduces the chance of lesson details getting lost in everyday messaging apps.

Homework & resources

Tutors can set homework digitally so everyone knows what was assigned and when it is due:

  • View tasks, instructions, and any attached files or links.
  • Submit work through the platform (text, files, or both).
  • Read tutor feedback in one place — no digging through old emails.
  • See what is overdue or still outstanding.

Learning materials may also come from the Resource Library — worksheets, slides, audio, and documents your tutor uploads once and reuses across lessons. That means fewer "can you send that again?" moments.

Some educators use Scribbler for annotated work, diagrams, and lesson notes that stay beside the material instead of trapped in a photo.

Courses, progress & achievements

Beyond single lessons, In-Tune supports structured learning over time:

  • Custom courses — multi-week programmes with materials organised in order, so students see how topics connect.
  • Skill progression — milestones and skills tracked over months, giving clearer language about how learning is going.
  • Certificates — digital certificates when students complete grades, courses, or achievements (where your tutor issues them).

These features help tutors show progress honestly — not just a vague "doing well" — and give students and families something concrete to work towards between lessons.

Payments & billing

When billing is handled through In-Tune, students and families benefit from clearer, more secure payment handling:

  • Online invoices — view what is owed, what is paid, and what is coming up.
  • Secure card payments — pay invoices online through Stripe (a trusted payment provider).
  • Top-up card — some tutors let students or families preload a balance so lesson fees deduct automatically without entering card details every time.
  • Payment reminders — polite automatic reminders for overdue invoices, so your tutor spends less time chasing and you get a clear nudge when something was missed.
  • Discount codes — referral or concession codes may apply automatically when your tutor sets them up.

Pricing is set by your tutor (per lesson, bundles, term fees, and so on). In-Tune keeps the paperwork aligned with what was agreed — you are not reconciling mystery amounts from a bank statement alone.

Payment questions? Speak to your tutor first for anything specific to your account. For technical payment issues on the platform, contact hello@in-tune.uk.

Attendance

Some schools and teaching centres use QR attendance. Students scan a code when they arrive and leave, creating a clear record of who was present and when.

If your organisation uses this, you will see a Scan QR Code option when signed in. It takes seconds and replaces paper sign-in sheets or illegible handwriting.

Safeguarding & incident reports

If something happens during a lesson — an injury, accident, near-miss, or safeguarding concern — your tutor or school can file a structured incident report in In-Tune.

When guardians are on file, this is especially important:

  • When a report is sent, guardians on file receive a secure email link.
  • No app install or login is required — open the link, read the full report, and acknowledge receipt.
  • You can add an optional note when acknowledging.
  • The page is branded with your tutor's or school's logo and colours.
  • Students also receive an in-app notification; acknowledgment is guardian-only.

Reports can include date, time, location, description, first aid given, staff present, photos, and body-map detail where relevant. Everything is stored as a proper record — not rebuilt later from memory or WhatsApp threads.

Handouts & documents

Your educator's public profile page may include a Handouts section with downloadable resources — for example welcome packs, term dates, policies, or information about their teaching organisation.

Every public profile includes this In-Tune info pack so tutors and teachers can easily explain the platform to new students and families. Your educator may add their own documents alongside it.

What's available on In-Tune

Every tutor and school on In-Tune has access to the full platform from day one — calendar, homework, messenger, payments, courses, safeguarding, and more. Your educator will use the tools that fit how they work with you; you may not see every feature straight away, but they are all there when needed.

Examples of what students and families commonly use:

  • Calendar & lesson scheduling — upcoming sessions and schedule changes.
  • Homework & Resource Library — tasks, materials, and feedback in one place.
  • Messenger & My Feed — announcements and professional messaging.
  • Payments & top-up card — invoices and secure online payment.
  • Courses & skill progression — structured learning and progress tracking.
  • QR attendance — quick check-in where the organisation uses it.
  • Safeguarding — structured incident reports with guardian notification.
  • Servicing — equipment repair and hire tracking, where relevant to the organisation.

If you are unsure how a feature applies to your lessons, ask your tutor or teacher — they can explain how they use In-Tune for you.
